5. Recipients of personal data

Users' personal data is collected and processed by Ichwa. They can be passed on to the subcontracting companies that Ichwa can call upon in the context of the execution of its services.

Ichwa will not transfer or rent personal data to third parties for commercial or marketing purposes.

Apart from these hypotheses, the disclosure of personal data to third parties may intervene only in the following cases:

  • with their authorization;
  • at the request of the competent legal authorities, upon judicial requisition, or in the context of judicial litigation.

6. Nature of the personal data collected and their purposes

6.1 Original File Data

To improve the quality of the Service and adapt it to Users' needs, we are required to back up data relating to the converted files, namely: date and time of the conversion, the name of the file, its size, its type as well as the conversion time and the error message in case of failure.

Ichwa does not manipulate or save any data relating to the content of the files processed.

6.2Email addresses

The email addresses sent through the contact form are exclusively used to answer your emails. Under no circumstances are they used or will be used for any other purpose or transmitted to a third party.

In addition, some data are collected automatically as a result of the actions of the User on the Site (see the paragraph "Why does Ichwa use cookies?").

7. Use of outside service providers

Ichwa relies on external service providers to:

  • Storage of data relating to the original files,
  • Hosting of the Site,
  • The sending of transactional emails necessary for the proper functioning of its service.

Ichwa selected the OVH provider and made the choice, for the data storage relating to original files, of hosting servers located exclusively within the European Union. Ichwa is committed not to transfer the data outside of the European Union.

The hosting of the Site is provided by the provider Vultr whose privacy policy is available at https://www.vultr.com/legal/gdpr/.

8. Retention period for personal data

Ichwa keeps personal data in a secure environment as long as necessary to achieve the purposes for which they were collected.

Personal data are thus kept for a period of one year and one month as from the day the file was converted. After this period, a process of anonymization is executed on any personal data.

9. Personal Data Security

Ichwa has taken all necessary precautions to preserve the security and confidentiality of personal data and prevent it from being distorted, damaged or communicated to unauthorised third parties.

Among these measures:

  • Multi-level firewalls,
  • 2 different anti-virus,
  • Encrypted data transmission using HTTPS technology over the entire connection chain.

In addition, to ensure confidentiality and security, the original files are immediately and automatically deleted after conversion. As for the PDF files obtained, they are deleted after 15 to 20 minutes and no personal data concerning their contents is saved or transmitted to a third party.

Additional security is provided by the site's own cookies. Indeed, with the help of these technical cookies combined with other security controls, we have created a system to allow the PDF file to be downloaded only by the person who performed the conversion. For your own security, disabling these cookies will cause inability to download any file.

10. Use of Cookies

In accordance with CNIL deliberation n° 2013-378 of December 5, 2013, Ichwa informs Users that cookies save certain information that is stored in the memory on their hard drives. The purpose of these cookies is to facilitate browsing on the Site, to perform the Service provided, to measure the Site's audience, to display advertising or again to allow the pages of the Site to be shared.
